Administrative Team Lead

We are looking for Administrative Team Lead to join our Claims Management Services Division. The Administrative Team Lead will be responsible for supporting the Management Team and running and maintaining the various daily workflows of the administrative team. The Team Lead will provide back-up to Administrative Assistants as needed.

Essential Functions:

Leadership & Team Management

  • Coach and train administrative staff.
  • Manage PTO requests and ensure reception coverage.
  • Provide backup to Administrative Assistants.
  • Conduct performance evaluations (excluding salary/merit).
  • Hold team accountable for achieving goals.
  • Cultivate an inclusive and collaborative environment.

Operational Oversight

  • Run/manage new loss and fax lines, scanning queue.
  • Oversee manual claim setup and assignment.
  • Ensure proper handling of checks (voids, refunds, subrogation, etc.).
  • Maintain CMS voicemail coverage.
  • Execute and manage policy system structure set up.
  • Own partial task responsibilities as a working Team Leader.

Compliance & Reporting

  • Ensure adherence to Claims Best Practices and quality standards.
  • Support Medicare Section 111 compliance and exception reporting, including RRE management.
  • Produce and correct managerial control reports.
  • Oversee reporting functions: Medbill Import, Smart Data, Oncourse Rejects.

Communication & Collaboration

  • Communicate professionally and timely with stakeholders.
  • Collaborate internally before external decisions.
  • Participate in client claim reviews and booklet creation.
  • Support ISO workflow and expense management.

Strategic Planning & Execution

  • Establish action plans and strategies to meet goals.
  • Use data to support recommendations and problem-solving.
  • Assist in strategy development and initiative implementation.
  • Identify stakeholders and communicate action steps.

Hiring & Development

  • Assist in recruiting, interviewing, and hiring.
  • Identify training needs for staff and vendors.
  • Provide actionable feedback and validate execution.

Technical & System Support

  • Oversight of key vendor partners.
  • Support claim management tasks (e.g., deleting claims, CAT codes, subpoenas).
  • Assist with intranet management and act as a resource.

Non-Essential Functions:

Additional tasks requested by management.

Qualifications:

  • At least 5 years of management experience
  • At least 5 years of administrative experiences
  • TPA experience in a claims role (preferred)
  • Knowledge of common software programs such as Microsoft Office and Excel
  • Excellent verbal and written communication skills
  • Great customer service skills

Compensation and Benefits:

  • Salary range is $62, 500 - $65,000 annually. Pay will be based on experience.
