Department College of Medicine, Interdisciplinary Medical Sciences BS Program
Responsibilities This position provides administrative support for the Interdisciplinary Medical Sciences (IMS) and Pre-Health Advising Office.
- Serves as the initial point-of-contact for the Interdisciplinary Medical Sciences (IMS) and Pre-Health Advising Office. Supports students in scheduling appointments with the IMS Director, Program Manager, Academic and Pre-Health Advisors, and the Community Coordinator. Handles all initial inquiries, directs students to appropriate offices, ensures students complete the appropriate intake form, and is responsible for entering all student information into the IMS/Pre-Health database. Assists advisors with collation and printing of materials needed for advising sessions or meetings.
- Maintains a welcoming and friendly environment for students and other visitors. Responsible for assisting with the coordination of all IMS/Pre-Health activities and events. Assists personnel with meetings and academic forms. Reserves rooms for meetings as requested. Assists with the maintenance of student records. Maintains adequate supplies for all advisors. Works with the Senior Administrative Specialist as the backup for any travel and purchase orders necessary for the division and for the Associate and Assistant Deans. Assists with all aspects of orientation sessions, including preparation of orientation packets, data collection, student file set-up, etc.
- Provides administrative support to the IMS Director, including clerical and calendaring support. Assists with the maintenance of electronic filing system. Reviews website periodically as directed by the IMS Director. Makes all photocopies of materials needed by IMS/Pre-Health personnel. Other duties as assigned. Serves as liaison with the COM Front Desk staff and other constituencies. Assists IMS/Pre-Health personnel with other pertinent items or events as needed. Runs occasional errands for the office requiring operation of a motor vehicle.
Qualifications - High school diploma/equivalent and three years of experience; or a combination of post high-school education and experience equal to three years.
- Valid Florida or Georgia Driver's License or the ability to obtain prior to hire.
Preferred Qualifications - Ability to prioritize, organize and perform multiple work assignments accurately and simultaneously in a detail-oriented environment.
- Ability to establish and maintain working relationships with staff, faculty, and students.
- Experience demonstrating effective customer service skills by communicating effectively verbally and in writing.
- Experience with applicable computer software and operating systems to include Microsoft Word, Excel, PowerPoint and Outlook.
- Experience working in an office to include maintaining accurate records and retrieving files from active/archive sources.

Anticipated Salary Range Starting Salary: Mid - high $30,000's, commensurate with experience/education.
