A leading commercial HVAC and specialty sheet metal service provider in the Tri-State area is seeking a highly motivated and conscientious individual to join the team for the long term. This role provides the opportunity to work in a dynamic environment with a focus on supporting a variety of projects from inception to completion. Position Summary This role involves direct interaction with executives, office personnel, field and shop employees, customers, and vendors. While primarily based in an office setting, occasional travel to job sites is required. Qualifications Education & Experience: · High school diploma required; college coursework or certifications in construction management or business preferred. · Familiarity with basic HVAC systems and terminology is a plus. · Experience in construction accounting is beneficial. · Understanding of work-in-process reporting is a plus. Skills: · Proficient in Microsoft Office Suite (Access, Excel, Word, Outlook). · Strong attention to detail with the ability to multitask effectively. · Excellent organizational, verbal, and written communication skills. · Capable of prioritizing tasks and solving problems independently. · Solid math skills with the ability to identify and correct numerical discrepancies. Key Responsibilities · Review plans and specifications to determine project requirements. · Coordinate internal resources to ensure projects are executed according to estimates, standards, and customer expectations. · Maintain both digital and physical project records. · Collaborate with the Safety Coordinator to ensure safe work environments. · Develop and manage resource schedules aligned with project timelines. · Create and update schedules of values and cash flow projections. · Monitor project progress, comparing actual vs. estimated performance, and make necessary adjustments to stay within budget. · Prepare and submit progress billings promptly. · Support timely collection of receivables. · Contribute to monthly work-in-process reporting by estimating cost-to-complete. · Oversee purchasing of materials, equipment, subcontracts, and rentals. · Manage and track project documentation through internal systems. · Coordinate fabrication and installation scheduling. · Represent the company at project-related meetings. · Identify scope changes, communicate with clients, and assist in pricing cost adjustments. · Prepare documentation for project closeout and archive records as needed. · Foster and maintain strong client relationships.
