STAGE 1 - LEAD PROGRAM ASSISTANT II Location: Los Angeles, CA 90056- 100% Onsite What We're Looking For: We are looking for a Lead Program Assistant II for our family Services Department who will provide support to the department and/or a case management team. In this position, you will act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff. You will also create and maintain new parent and/or provider files, including filing required documentation, review and ensure proper documentation has been provided, prepare forms notices, and correspondence, enter client information into the database, and make follow-up phone calls to providers regarding terminated parents.
RESPONSIBILITIES: - Monitor workflow distribution and task completion in conjunction with Supervisor and Lead Specialist.
- Act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff.
- Create and maintain new parent or provider files, including filing required documentation.
- Review and ensure proper documentation is provided.
- Prepare forms, notices and correspondence regarding missing documentation, etc.
- Enter client information on internal database.
- Make follow-up phone calls to providers regarding terminated parents.
- Set up appointments for new enrollments/re-certifications and/or follow up on rescheduled appointments and no-shows.
- Send letters to parents of documentation needed for re-certification.
- Check for qualifying eligibility of families and childcare needs within our service area.
- Sort, process, and distribute incoming mail.
- Perform other duties as assigned.
E XPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS: - High School graduate or equivalent, some college preferred
- At least one year of experience working with parents receiving subsidized child care or social support services preferred
- Experience with MS Excel and Word, preferred
- Requires excellent verbal and written communication skills.
- Strong customer service skills
- Strong organizational and administrative skills.
- Ability to work flexible hours and overtime as needed to complete required tasks in a timely manner.
- Ability to handle sensitive and confidential issues/matters
- Ability to work variable days and hours and site locations as needed for special projects
- Excellent work ethic, including attendance and punctuality
